Skills and Competencies
- Proven experience supporting senior management in a complex corporate environment
- Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Adobe Acrobat)
- Strong organizational, time management, and project management skills
- Excellent interpersonal, written, and verbal communication abilities
- Ability to manage confidential information with discretion and sound judgment
- Demonstrated leadership and team management capabilities
- Ability to work independently with minimal supervision and collaborate effectively within a team
Education
- High school diploma or equivalent required; additional administrative training or certification preferred
Responsibilities
This role is a full time fixed term contract until July 2026. You will provide senior-level administrative and secretarial support to the London Commercial leadership team, ensuring efficient operations and coordination across teams.
- Support senior management with high-level administrative tasks, including calendar management, travel coordination, expense processing, and project support
- Prepare management-level presentations and related documentation for review
- Act as liaison to London-based Commercial Heads, prioritizing strategic initiatives and department-wide concerns
- Serve as department contact for support groups (Human Resources, Facilities, IT, Business Planning, Communication) to ensure needs are met
- Oversee personnel management for the Commercial team, including onboarding, promotions, transfers, terminations, and data integrity checks
- Review and approve office supply and technology requisitions to maintain budget compliance
- Coordinate and plan department-wide and team events, ensuring adherence to budget
- Manage department space usage, including moves, renovations, and upgrades
- Perform additional responsibilities and ad hoc projects as assigned
