Research Grid (R.grid) is the automation engine for admin-free clinical trials. Our mission is to enable faster, more successful clinical trials by engineering smart software that safely automates back-office admin across the full lifecycle. About the Role:

This is a highly cross-functional operational role sitting between the COO and operations team lead within the business. You’ll work closely with senior leadership to help balance day-to-day operational execution with broader business priorities as the company grows.

The Team Operations Manager will play a key role in supporting internal team and company operations, compliance coordination, business processes, and cross-departmental collaboration across Research Grid. You’ll help ensure operational consistency, identify areas for improvement, and support the smooth running of the business across multiple functions.

This is a role for someone comfortable wearing multiple hats, able to move between operational delivery, business coordination, compliance support, process improvement, and team collaboration depending on business needs. The role is ideal for a candidate who thrives in dynamic, fast-moving environments where adaptability and ownership are essential.

Role and Responsibilities

  • Act as a key operational partner to the COO, supporting strategic planning, execution, and scaling initiatives across the business.
  • Lead and manage day-to-day business operations, ensuring alignment with company objectives, operational excellence, and organisational growth.
  • Support recruitment and hiring activities, including candidate coordination, interview processes, onboarding, and talent retention initiatives.
  • Design, implement, and continuously improve operational processes, training, policies, systems, and frameworks to enhance efficiency and scalability.
  • Establish and monitor operational KPIs, reporting frameworks, and performance metrics to support data-driven decision-making.
  • Coordinate company-wide meetings, cross-functional communication, resource allocation, and operational priorities to ensure effective execution.
  • Lead operational improvement projects, identify risks and inefficiencies, and implement practical solutions to improve business performance.
  • Act as a key liaison between leadership and internal teams, fostering accountability, collaboration, and effective communication across the organisation.
  • Lead or contribute to strategic projects, organisational initiatives, and other operational priorities as required.
  • Own and maintain compliance frameworks, policies, SOPs, audit documentation, and operational records, supporting ISO 9001, ISO 27001, GDPR, DPA, and other regulatory requirements.
  • Support organisational risk management, audit preparation, compliance monitoring, and continuous improvement initiatives.
  • Collaborate with product, commercial, and research teams to optimise workflows, improve stakeholder experiences, and support business objectives.
  • Support grant identification, application preparation, submission management, and post-award reporting activities.
  • Assist with business development operations, including pipeline management, reporting, market research, and process optimisation.
  • Manage supplier relationships, procurement activities, inventory, and operational logistics.
  • Gather and analyse market, customer, and operational insights to support strategic planning and product development.
  • Assit with additional projects and tasks as assigned

Essential Qualifications, Experience, Knowledge, and Skills:

  • 5–7+ years of experience in operations management, business operations, project management, or a related field, preferably within a start-up, technology, SaaS, healthcare, or regulated environment.
  • Previous experience managing, mentoring, or supervising team members, with a demonstrated ability to develop high-performing teams.
  • Strong understanding of operational strategy, business process design, organisational scaling, and continuous improvement methodologies.
  • Experience establishing and managing KPIs, operational reporting, and performance management frameworks.
  • Proven experience implementing and maintaining compliance and quality management systems within regulated environments.
  • Experience supporting or managing regulated frameworks including ISO 9001, ISO 27001, GDPR, HIPAA, FDA 21 CFR Part 11, and Computer System Validation (CSV).
  • Strong project management skills with the ability to manage multiple priorities, stakeholders, and deadlines simultaneously.
  • Demonstrated ability to influence stakeholders across all levels of an organisation and drive cross-functional collaboration.
  • Experience supporting business growth initiatives, grant applications, procurement, vendor management, or operational scaling activities.
  • Exceptional organisational, analytical, and problem-solving skills.
  • Strong commercial awareness and ability to balance strategic priorities with operational execution.
  • Excellent written and verbal communication skills with exceptional attention to detail.
  • High levels of emotional intelligence, professionalism, discretion, and sound judgement.
  • Advanced proficiency with Google Workspace, Microsoft Office, CRM systems, project management tools, and modern productivity platforms.
  • Comfortable leveraging AI-enabled tools and automation technologies to improve operational effectiveness.
  • Self-motivated, highly accountable, and able to thrive in a fast-paced, rapidly changing environment.
  • Native-level or exceptional professional business English.
