Role overview

The Chief of Staff will serve as trusted, strategic right-hand to the CEO, providing crucial operational support across all aspects of the role. This role isn't just about managing calendars (though you'll do some of that) - it's about becoming an extension of our CEO's vision and helping drive our business forward.

This position will help to streamline communications, prioritise high-impact activities, manage cross-functional teams and projects and ensure efficient execution of strategic initiatives.

To excel at this role, you will need to be able to seamlessly navigate between different business contexts, from investor and client meetings to technical in-house discussions, with the adaptability and insight to represent our management’s perspective accurately.

It offers a unique opportunity to work closely with the founder and CEO of a pioneering AI company operating at the cutting edge of neuropsychology, ethical AI, and healthcare innovation, during a very exciting growth period, gaining exposure to all aspects of building and scaling a deep tech business.

Key Responsibilities

Connect the Dots & Execute on Strategy

  • Facilitate effective information flow between the CEO and all internal stakeholders, translating senior management’s vision into action
  • Lead or support on special projects, monitoring progress and providing regular updates, ensuring OKRs and KPIs are met across teams
  • Prepare investor updates, board materials and assist with tracking key metrics for external stakeholder communications
  • Understand and anticipate challenges, proactively developing solutions to overcome roadblocks, keeping momentum strong as we grow

Business Development Support

  • Execute full sales cycle support across thymia’s diverse verticals, from preparing sales pitch materials, attending client meetings (remote and in-person) to coordinating follow-up actions
  • Create polished commercial proposals and quotes, track opportunities and ensure thorough follow-up

Public Speaking & External Representation

  • Support preparation for speaking engagements, media appearances, and industry events, streamlining and maintaining consistency of external communications
  • Represent the CEO at external meetings, events, and conferences, when needed

Executive Support & Coordination

  • Expertly manage CEO’s calendar, travel coordination and logistics to ensure CEO has maximum space for key priorities
  • Ensure the CEO is thoroughly prepared for every engagement with comprehensive briefing materials

Qualifications, skills & experience

Essential

  • Bachelor's degree in science or economics
  • 5+ years of experience in a fast-paced environment, preferably in deep tech, healthcare/digital health, or related sectors
  • Experience supporting senior executives in a high-growth startup environment
  • Commercial acumen and strong relationship-building skills with stakeholders at all levels
  • Ability to create and adapt commercial and investment presentations
  • Detail-oriented with strong follow-through capabilities alongside ability to think high-level and strategically
  • Exceptional organisational skills and ability to manage multiple competing priorities
  • Outstanding written and verbal communication skills
  • Proficiency in communicating data visually - able to create clear Gantt charts, process flows, structured tables, and utilise visual tools to transform complex information into actionable insights
  • Adaptability and comfort in rapidly evolving environments
  • Willingness to travel domestically and internationally, sometimes with short notice

Preferable

  • Strong knowledge of AI concepts and industry trends
  • Higher degree in neuroscience, linguistics, or related scientific fields
  • Experience in or supporting on investment rounds and/or fundraising activities
  • Design thinking and visual storytelling abilities
  • Knowledge of multiple languages (SE Asian languages a bonus)
