Roles & Responsibilities:
- Manage vendors and contract renewals for all Facility management related activities, including insurance, lunch services, ID/visiting cards, housekeeping, elevator maintenance, and security.
- Manage office amenities (coffee machines, watercoolers) and ensure regular feedback & quality checks.
- Oversee housekeeping staff, utilities, restocking, and cleanliness standards.
- Manage stationery inventory, reordering, and storage, including printer maintenance.
- Track and manage company assets, including laptops and new asset procurement.
- Supervise security measures, including staff and camera surveillance.
- Ensure fire safety training, compliance, and routine system maintenance.
- Oversee Employee Travel desk, including but not limited to visa, ticketing, accommodation, and relocation assistance for employees.
- Manage interview travel and coordination of internal logistics.
- Overall governance mechanisms for facility management related services
Team Structure :
- Reporting to : Head of HR
- Team Size : No direct reports, Housekeeping team/vendor, Security Vendor/Team
Requirements:
- Strong experience in negotiating contracts, evaluating vendor performance, and maintaining service quality.
- Hands-on experience managing office facilities, travel logistics, and asset tracking.
- Knowledge of workplace safety regulations, fire safety protocols, and legal compliance requirements.
- Proficiency in Google Workspace (G Suite), including Gmail, Google Drive, Sheets, Docs, and Calendar for documentation, scheduling, and reporting
- Soft Skills: Strong communication, problem-solving, multitasking, and vendor management abilities to manage teams and coordinate cross-functional tasks.
Good to Have:
- Prior experience in a startup environment
- Experience in managing office administration, with the ability to set up and scale office operations,
- Experience in managing and establishing vendor relationships, and adapt to evolving business needs with minimal supervision.
Eligible Candidates:
- Desired Qualification: any bachelorette degree
- Work Experience: 2-5 years experience
