As the Events & Marketing Coordinator, you will be responsible for planning, coordinating, and executing eternal events at Automata. You manage all aspects of the events, from conceptualisation to execution, contract negotiation, budgeting and reconciliation, onsite staff coordination, coordinating speakers if required, pre and post-event briefings and evaluating ROI on events.

You will work directly and collaboratively with a number of departments across the business, including Design, Sales, Finance and Product. Ensuring the event objectives are met and all event-related metrics are achieved.

This role will also assist the Marketing and Growth Managers with activities to promote Automata, its products and services, to enhance brand visibility and engagement.

This role requires an individual who is highly organised, has strong stakeholder management and communication skills, works well under pressure and is willing to ‘get technical’ when required with physical product and deployment operations at events. This role will suit someone who is naturally proactive and drives impact through transparent communication and collaboration.

Key Responsibilities:

  • Plan, organise and execute external events - including but not limited to trade shows, webinars & tabletop events

  • Construct, manage and reconcile event budgets to ensure cost-effectiveness and adherence to company financial parameters

  • Assist with the development of marketing materials to be used onsite at the event and during the event promotion, i.e. content relevant to the audience attending. Ensure brand consistency across all event-related marketing materials

  • Collaborate with the marketing team to assist and monitor event campaigns across various channels, including digital, social media, PPC etc

  • Manage relationships with stand builders and other 3rd party vendors and ensure they deliver quality services/products on time and to budget

  • Communicate a clear plan and set of event metrics to the wider marketing team and sales to ensure strong ROI on events

  • Host event-specific calls with key stakeholders from marketing, pre-sales engineering, sales and design to ensure accurate planning and coordination prior to the show

  • Oversee the setup and breakdown of the exhibition booth and onsite team management

  • Coordinate logistical details for both staff and physical products required at the booth

  • Collect feedback from team members and sponsors to evaluate the success of the event and log post-event analysis with recommendations for improvement

  • Collect and analyse data related to event and marketing performance and share with the wider marketing team for monthly updates

  • Utilise data insights to make recommendations for future improvements and repeat bookings

Qualifications:

  • Proven experience in event planning and marketing coordination

  • Excellent written and verbal communication skills

  • Exceptional budget management techniques

  • Experience using project management software (Notion, Clickup, Jira)

  • Ability to work independently but also effectively in a team and collaborate across departments
